
Creative Safety Committee Notes Formats
Hello Safety Knights! I am looking to revamp the way that I run my safety committee. I would love to hear some of the ways other people present the meeting notes/agenda? I am looking to get away from the traditional Microsoft Word bullet point style.
If you do it in a different way, how do you like the format and how has feedback been?
For context, my committee has 20+ members (usually don't get the full group) and is a mix of department supervisors, management, and shop leadmen.

#1 have a team within the Team make the agendas! if they do not have keyboarding or Microsoft skills have them write them out! First thought that comes to mind. Don't let them just become "Bit__ Sessions so you might have to do some training!
20 years ago I had a safety team of >20. Same people had been on the team for years. Out problem it was all employees and no - zero supervisors or managers, so I think that is a plus for you!!!!! Mine were terrible! Same old thing month after month! I hated to do to them! Big Waste of time! Our TIR or OSHA Recordable rate was 18!!!!!!!
The Lean happened in our organization! Instead of fighting it I, I embraced it! Once I got it, I got it! I was was also charged to go from that 18 to ZERO in a large machine and forming shop! I came up with the idea of not having ONE TEAM but Ten! They would be "Tasked Teams" like Machine Guarding, Lockout, PIT, Ergo, Haz Com, Falls, and Safety Promotion to name a few.... they would be Captained by Hourly Employees with each team having salaried members who were the champions teams. The Captains and the Management Staff Team made up the Safety Steering Team! Instead of having 20 people on Safety Teams I would go to 250 out of our 400 employees on Safety Teams! it cost us about 250 hours of labor a month! (about 1.5 FTEs). I also had to do one heck of a lot of training in safety and team dynamics! So it was a lot of work and resources! For all that we got:

We are pretty informal with our committees. But then again, we are fairly small at each locations. I generally try to let the employees lead the meetings and a few of my locations do a great job at creating an agenda for the meeting ahead of time. Depending on time of year I might schedule in something different for the committee such as last year we had some taste and learns where the committee tried out the Shield brand electrolytes and learned about the product from the vendor. We ended up switching in most of our locations to the product for helping with our heat illness prevention program based on committee feedback. Our committees are also a mix of mostly techs and management, though we have some parts sales (office) folks also included. I generally try and steer them away from dictating who can be a part of the committees. This month at one of my locations, most of the members were out for either work events or non work related medical leaves. So I asked the two members that were available if they could each do an inspection of the facility and share their findings with the group in leu of a formal meeting for the month.
